Ranking the day by dollars and deadlines

An advisor’s day fills with whatever is loudest. Ranking the work by what it is worth and when it is due is a better default.

Ask a senior advisor at a multi-family office what they did yesterday, and the answer is rarely what they planned. A client email, a request from an accountant, a document that needs a signature: the loudest work wins. The quiet work waits until it becomes urgent: a harvesting window about to close, a trust distribution deadline, a concentrated position drifting past its limit.

Two numbers for every item

Most of an advisor’s open work can be described with two numbers: what it is worth to the family, and how soon it has to be done. A tax-loss harvest worth tens of thousands of dollars with a window that closes on Friday outranks a routine rebalance with no deadline. A required minimum distribution due in December outranks a portfolio review that can wait a quarter.

Ranking by those two numbers does not replace judgment. It makes judgment visible: when an advisor moves something up or down the list, the reason is clear to everyone on the team.

Every item needs its reasoning

A ranked list is useful only if each item explains itself. The figure, the deadline and the evidence behind them, whether tax lots, a trust provision or an account statement, let an advisor decide in a minute rather than an hour.

How Caldris builds the morning list

Overnight, Caldris looks across each family’s accounts, entities and documents and turns what it finds into priority actions: a loss worth harvesting, a capital call to fund, a follow-up owed from a client call, a deadline getting close. Each is ranked by value and urgency and carries its reasoning and its sources. The advisor approves, changes or dismisses each one, and every decision is on the record.

The best morning is one where the hardest thinking is already done, and the decisions are still yours.
